Description
This position is responsible for providing assistance to the Executive Vice President in these three categories: • Board of Trustees: This includes effectively implementing various communications mechanisms with Board members, arranging for meetings, preparing and distributing pre-meeting materials, serving as a resource and point of contact for Board members, initiating and completing projects relating to the board, managing calendars and performing duties with a high degree of confidentiality, discretion and judgment.
• Commencements: This position is also responsible for logistical arrangements related to the Commencement speakers.
• Major donors: This position is responsible for communicating with significant donors on behalf of the Executive Vice President using written, verbal, and electronic correspondence.
Examples of Duties
• Serve as private, confidential assistant to the Executive Vice President.
• Assist the Executive Vice President when representing the Office of the President, in the president’s absence, with both internal and external constituents.
• Serve as assistant to the Executive Vice President in completing projects relating to the Board of Trustees, and significant donors.
• Responsible for preparing the Board of Trustees Handbook, Mini Handbook, and Directory.
• Prepare quarterly board reports as provided by president’s cabinet administrative members and their directors in a timely and professional manner.
• Responsible for preparing agendas and making arrangements for board members and meetings, including all trusteeship committee meetings.
• Schedule all board meeting logistics, locations, and meals with facility bookings and food services.
• Maintain the Board of Trustees database and files; prepare monthly newsletters, track board committee assignments and board rotations.
• Assist the special events coordinator for the Office of the President with Board of Trustee events.
• Serves as a liaison to commencement speakers for all commencement exercises; making travel accommodations and all other necessary arrangements.
• Assist the President’s Office with commencement logistics as needed.
• Support the Executive Vice President in the partnership with other administrative offices related to multiple study abroad programs, a film studies program, and a public policy institute.
• Manage the office budget-track monthly expenditures, enter purchase requisitions, and process expense reports for the Executive Vice President and members of the Board of Trustees.
• Perform other duties as assigned by the Executive Vice President as related to the job description.
Education
B.A. degree or equivalent education and experience.
Experience
Seven to ten years in an administrative support position.
Skills
Ability to handle multiple priorities with complex scheduling. Strong organizational ability. Excellent levels of written and oral communication skills, with the ability to compose, edit, and prepare final copies of all types of correspondence. Excellent office skills, including filing, strong computer skills and proper telephone etiquette. Proficient in Microsoft Office, Word and Excel.
Mental Demands
Sound judgment, priority setting and decision-making abilities. Service oriented ability to interface with many people. Highly motivated able to work independently. In agreement with the purpose and goals of Azusa Pacific University in providing a Christian-based higher education for its students.
Physical Demands
Intermittent sitting, standing, and walking. Repetitive wrist and finger motions relating to use of the computer. Talking and hearing demands in person and on the telephone.
